Job Summary:
The Administrative Assistant supports at least one Director and may support other Physician Leaders, Directors and/or Managers as requested. This position coordinates multiple calendars/schedules and acts as a liaison between internal and/or external contacts; location may require Board/Conference Room calendar coordination, organization and stocking, as well as department safety, maintenance coordination and ordering of supplies; planning and coordination of travel arrangements; coordination and scheduling of internal and external meetings and events, creating agendas, and documenting meeting notes/minutes; assisting with expense reporting and balancing credit card statements with receipts; creation of presentations and reports; handling tele/videoconferencing equipment; and handling time and attendance. This position requires contact and interaction with Board Members and Committees, as necessary. This role requires the ability to communicate effectively and professionally with all levels of the organization, as well as assist in patient compliments/complaints, distribution, tracking and communicating service recovery.
Minimum Qualifications:
Education: High School diploma or equivalent (GED) required.
Experience: Three years of administrative/secretarial work experience required.
Licensure/Certification: Some positions may require a current South Carolina driver’s license.

Knowledge/Skills: Proficient with the latest versions of Microsoft Office, Outlook, Windows, Word, Excel, PowerPoint. Ability to utilize tele/videoconferencing equipment. Excellent verbal and written communication skills with all levels of the organization. Must possess the ability to organize and handle multiple tasks simultaneously.
Other: Must maintain strict confidentiality of work related information. If SCDL is required, must be insurable under the Roper St. Francis Healthcare vehicle insurance plan, which will be verified by reviewing licensure and driving record.
Contacts: Requires the ability to work well with individuals including but not limited to: patients, customers, teammates, physicians, etc.
Work Demands/Environment:
Frequent sitting. Frequently requires long periods of working at a computer. Intermittent walking, standing, stooping, bending. May require lifting or moving items up to 25 lbs. Frequent use of finger/hand dexterity. Constant communication (talking, listening, etc.). Must be able to speak clearly. Corrected hearing and vision to normal range. No exposure to blood, body fluids or tissue. Possible exposure to infectious materials, communicable diseases and/or other conditions common to a healthcare environment. Normal office environment. Requires work under stressful conditions, deadlines, and/or irregular hours. Ability to read, comprehend, focus on attention to detail, work efficiently and effectively. May be required to travel and/or work out of different facilities/locations.
