Job Summary/ Key Responsibilities:
Job Summary
Provide end-to-end administrative, reporting, and managers & employees’ support for the company’s Talent Management initiatives. The role keeps the operations of each program running smoothly, by continuous communication, organizing sessions, tracking participant data, coordinating the follow-up and collecting feedback from managers.
Key Responsibilities
- Manages the logistics for Talent Management programs—including calendars, invitations, pre-work, room bookings, and follow-ups.
- Serves as the first line contact for managers, participants, and HR Business Partners on program logistics, processes, timelines, program eligibility, expectations, and next steps—escalating exceptions as needed.
- Ensures meticulous adherence to established processes and standards to maintain the quality and consistency of Talent Management programs.
- Assists in the preparation and editing of training materials, including presentations, manuals, motivating program announcements, success stories, and other related documents.
- Follows up on outstanding feedback or development-plan updates and remind managers of upcoming milestones so talent actions stay on track.
- Maintains clean, current talent data; runs regular accuracy checks and works with HR Business Partners and Managers to address data discrepancies.
- Offers input to the Data Analysts for the creation & maintenance the dashboards that track program participation, internal movements, and development-plan completion rates. Highlights trends and gaps.
- Compiles end-of-program evaluations and analyzes survey comments to surface wins and improvement areas. Provides ad-hoc reports for HR leadership.
- Maintains accurate and up-to-date records of all training activities, including participant progress, completion rates, and certification statuses.
- Performs other duties as assigned.
Qualifications
Required skills / abilities
- Prior experience in an administrative or coordination role is a plus but not required.
- Strong attention to detail and organizational skills.
- Strong critical thinking skills.
- Ability to follow processes meticulously
- Excellent communication and interpersonal skills.
- Ability to build relationships with employees at all levels of the organization
- Ability to work in a fast-paced environment
- Fluent in English
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to learn new software.
Preferred education and experience
- Bachelor's degree in Human Resources, Business Administration, or a related field.
Physical Demands
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at a time
