Job Description Summary
Help prospective students begin their journey into health care careers. The Inbound Recruitment Coordinator supports enrollment goals at the MUSC College of Health Professions (CHP) by engaging prospective clinicians and health care professionals, providing program information, and encouraging qualified candidates to complete the application process. As part of the CHP Marketing and Student Recruitment team, this role manages assigned prospective student pipelines, responds to inquiries, and provides personalized support to help students explore programs, assess goals and program fit, and complete their applications.Working within MUSC’s CRM system, the coordinator proactively manages recruitment funnel performance by tracking prospect engagement, maintaining accurate records of outreach and interactions, ensuring data integrity, and monitoring application progress through submission. The position collaborates with marketing, recruitment, and academic program partners to ensure prospective students receive timely information and a positive recruitment experience.
Successful candidates enjoy building relationships, communicating with prospective students, and helping others navigate complex processes. As a key point of contact for prospective students, the Inbound Recruitment Coordinator plays an important role in shaping the first impression of the College of Health Professions and guiding students as they explore their academic options. This role requires strong organization, attention to detail, responsiveness, and the ability to thrive in a fast-paced environment where clear communication and accuracy contribute to a positive and supportive recruitment experience. Experience as a student ambassador or in other student leadership roles within higher education is highly valued.
The coordinator reports to the Assistant Director of Marketing and Student Recruitment. After a probationary period (currently one year), the position may be eligible for a hybrid work schedule of 1–2 remote days per week.

Job Description
Job Duties
Lead Nurturing and Funnel Management (35%)
Guides prospective students through the recruitment and application funnel for assigned programs.
Support prospective students in completing the application process and address common barriers to completion
Conduct personalized outreach to prospective students via email, phone, SMS, and virtual meetings to explore program fit, application readiness, and next steps
Adapt messaging and resources to individual prospect needs based on funnel stage and communication history
Collaborate with marketing and lifecycle communications staff to implement established nurture and communication plans, ensuring alignment with broader enrollment and marketing strategies
Provide input and feedback on communication cadence, channel use, and audience segmentation based on observed prospect needs
Gather relevant background information (e.g., inquiry patterns, student questions, engagement trends) to inform marketing and recruitment colleagues
Partner with the Office of Enrollment Management (OEM) and CHP Student Services to ensure applicants complete necessary materials and transition smoothly through the admissions process
Prospect Support and Recruitment Engagement (25%)
Acts as the primary point of contact for prospective students, ensuring responsive, high‑quality service and a strong applicant experience.
Respond promptly to inquiries across email, phone, SMS, virtual platforms, and in-person appointments.
Manage the CHP recruitment inbox and meet established service benchmarks
Host and support virtual events—including information sessions, webinars, and faculty panels—by facilitating Q&A, assisting presenters, and resolving basic technical issues
Maintain a weekly schedule of prospective‑student phone appointments
Provide clear, accurate information about CHP academic programs and admissions requirements
CRM Tracking & Pipeline Monitoring (25%)
Maintains accurate prospect records and monitors recruitment pipeline activity using MUSC’s CRM system.
Document outreach, communications, and event participation, and maintain record accuracy in the CRM to ensure pipeline accuracy and visibility
Monitor prospect engagement, application progress, and funnel movement for assigned programs
Identify stalled prospects, declining engagement, or pipeline gaps and take proactive steps to re-engage prospects or adjust outreach strategies
Prepare and share regular reports to inform colleagues and leadership of pipeline health, conversion trends, and campaign performance
Recruitment Team Operations (15%)
Supports the college’s recruitment operations through coordination of schedules, timelines, and task management for recruitment activities. Provides support for recruitment initiatives and student engagement activities.
Coordinate all recruitment-related scheduling, including program virtual information sessions, tours, and Open Houses. Ensure recruitment event details are updated across communications and scheduling platforms
Serve as an expert user of the Office of Marketing and Student Recruitment work management platform (Asana), updating and monitoring recruitment-related tasks and action items
Support CHP’s Marketing and Student Recruitment team initiatives, including provides occasional support for student-related activities as a member of CHP’s Student Affairs team. Serves as a backup to the student ambassador program manager
Occasionally travels as backup for the external recruiter during peak recruitment season
Preferred Qualifications:
Experience in student recruitment, admissions, student engagement, sales, marketing, or related fields
Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment
Customer-service mindset and ability to build rapport with prospective students. Experience working with students, customers, or clients in a service-oriented environment preferred
Excellent written and verbal communication skills
Ability to complete detailed work independently with strong attention to accuracy
Compassionate, empathetic communicator with a motivational, team-oriented approach
Familiarity with CRM systems (such as Anthology Reach), Microsoft Office, and virtual meeting platforms (Zoom, Teams) preferred
Physical Requirements:
Ability to occasionally work a flexible schedule outside of traditional office hours (after 5 p.m. and weekends) to meet the needs of our prospective students. Availability to occasionally travel as backup for the external recruiter during peak recruitment season. Ability to lift heavy objects and materials within the office environment.
