Job Description Summary
The SIM Lab Manager provides comprehensive operational, administrative, technical and instructional support for the Simulation Laboratory and Wet Laboratory. This role manages the inventory, procurement tasks, budgeting and equipment maintenance while ensuring all materials, instruments, software and facilities are operational, clean, safe and efficient for instructional and educational sessions. This person supports multiple Course Directors and students by coordinating lab logistics, monitoring student requirements, assisting with instructional technology, and maintaining academic deadlines. They also oversee student instrument programs and processes, licensing exam preparation, and safety compliance. Job Description
25%: Responsible for managing inventory and ensuring all materials are prepared for lab sessions. Oversees distribution of materials during lab activities and stores materials and Simulation Lab equipment at the end of each session to ensure cleanliness and time and space optimization. Manages and monitors student requirements by collecting, checking off, and contacting students missing assignment requirements. Provides instructor support by assisting with the collection and distribution of documents and grades from various Course Directors and managing a queue system for instructor feedback for students. Manages the college’s inventory of typhodont teeth and other SIM lab items to ensure accurate tracking, allocation, and collection. Assists Course Directors with maintaining deadlines and communicating with students.
20%: Maintains an inventory of instruments, materials and supplies needed for laboratory sessions. Manages and oversees the College of Dental Medicine’s Student Instrument Program, which includes organizing the distribution of instruments and materials during students’ freshman year and managing the return of senior-year kits in the late spring, prior to graduation. Establishes return locations, dates and workflows to ensure an efficient and organized process for collecting senior year instruments, typically hosted in the Collaborative Learning Environment with designated areas for Endodontics, teeth, operative station materials, etc. Builds and manages a coalition of volunteers to assist with instrument collection and leads the communication efforts to students to ensure awareness of product return, associated fees, and consequences of unpaid fees, including the impacts of graduation eligibility. Manages and documents broken instruments and equipment maintenance concerns. Responsible for tracking and coordinating any necessary replacements or credits with vendor representatives to ensure items are replaced, replenished or appropriately credited to the college.
15%: Uses Responsibility Centered Management (RCM) philosophy to manage the Simulation Lab. Works with the Chair and Business Manager to maintain an operating budget for the Simulation Lab ensuring that goals and objectives are met. Monitors student workflows, expenditures, inventory and makes recommendations to optimize orders. Analyzes SIM lab expenses and student rations. Processes all procurement duties for the Simulation Lab through the WorkDay system including processing invoices, creating PO's and obtaining appropriate quotes from vendors. Manages and maintains an ordering system to include the tracking of over one thousand products used in the Simulation Lab. Oversees proper inventory and organization is kept of all supplies and specific timelines are followed to ensure proper course instruction. Manages the SIM Lab calendar and works closely with the curriculum committee to ensure updated semester courses are entered on calendar. Oversees and coordinates preparation for the Dental Licensing Board Exams.
15%: Maintains cleanliness and organization in the Simulation Laboratory and Wet Labfor each new lab session. Cleans all contact surfaces, including, but not limited to countertops, lights, units, and chairs. Coordinates with housekeeping to have floors cleaned as needed. Responsible for collaborating with D1 and D2 class presidents to establish cleanup semester schedules. Works with these class leaders to create and revise rotating schedules each semester to support continual cleanliness efforts, ensuring safety, sanitization and proper upkeep of the environment. Also responsible for maintaining a logbook or tracking system to document accountable students, uphold expectations and ensure all tasks are completed. Ensures maintenance and testing of eyewash stations; maintains safety/injury log. Oversees lab hazardous material waste control and turns in amalgam waste and sharps containers.
10%: Maintains, monitors, and ensures all equipment is operational prior to classes while providing preventative maintenance a needed. Coordinates with appropriate repair organizations or vendors to secure timely repairs for machines or components requiring adjustment or services. Initiates and tracks all maintenance requests for vendors on in-house equipment. Provides real-time instrument and equipment repair or replacement during classes. Performs basic mechanical maintenance support on simulator units as applicable. Responsible for contacting software support personnel to report bugs, troubleshoot issues, and resolve any conflicts hindering student learning. Regularly verifies software programs are updated, monitors and manages renewal timelines, and ensures all future contracts or necessary contacts are completed to maintain continuity of education and Sim Lab operations. Collaborates with Biomedical Maintenance Technicians and the Information Solutions and Clinical Information Solutions teams to troubleshoot issues and implement resolutions. Additionally assists students with computer-related issues through direct troubleshooting or coordination with internal supports when necessary to ensure ongoing operations and student success.
5%: Provides administrative and educational support to Course Directors by ensuring teaching materials are prepared for lab exercises. Assists with production and distribution of handout materials to students. Serves as the backup and secondary point of contact for operating the Instructor Station in the Sim Lab.
5%: Manages, supervises and organizes schedules for 2-3 work study students and student volunteers as needed. Responsible for reviewing, approving, and confirming the accuracy of work-study timesheets and ensuring they are submitted bi-weekly in accordance with Federal Work-Study guidelines and internal compliance requirements.
5%: Provides support during ADEX boards and support to the Procurement Specialist I and any Continued Education events within the college as assigned.
