Job Description Summary

Job Description

Job Summary:

This position will supervise, direct, and coordinate daily operations of the Facilities Department storeroom and inventory programs. This position will direct and coordinate all aspects of Facilities Storeroom inventory/materials management program(s) and associated daily operations and staff that support the program(s). This will include responsibility for the oversight and direction of inventory program(s), software(s), ordering, receiving, storage, distribution, and all associated services and activities. Position is responsible for maintaining sufficient quantities of critical supplies as certain areas of the department are 24/7/365 operations and MRO parts must be available when needed.

Job Duties:

35% (General) – Daily management of Facilities storeroom staff, processes, inventory program(s), and software(s) to meet department’s daily operational needs. Manage current inventory/material management systems as well as any new inventory programs, storerooms and/or locations that are deemed needed and/or added. Ensure correct items are stocked and best practice physical inventory activities are routinely performed. Serve as the department’s inventory / materials management leader with a focus on product quality, standardization, cost containment, consolidation of vendors, effective stocking levels, and frequency of inventory turns. This position is expected to focus on maintaining efficient operations and treating the inventory program(s) with a business mind-set. Conduct periodic reviews on product quality, costs, savings, customer usage, and seek process improvements to ensure program is high-performing and effective for the department.

30% (Inventory Management, Ordering, Stocking): Oversee timely ordering, receipt, stocking, and sale of products. Control inventory levels and ensure availability of stocked supplies and equipment to meet daily operational needs. Manage min/max inventory levels with an internal goal of no more than three (3) months’ worth of stock is on shelves to reduce holding and overhead costs (i.e., overstock). Monitor purchase volume, stock turn patterns, and make inventory adjustments throughout the year. Maintain accurate data on inventory quantities and total inventory value. Annually evaluate slow and non-moving stock and make decisions regarding removal from inventory program. Monitor and reduce inventory loss occurring through theft and/or poor processes. Ensure storeroom staff are following inventory best practices. If/when delivery, shipping, or return services are required, facilitate those needs of behalf of the department.

15% (Purchasing/Contracting): Ensure inventory stock is being purchased via competitively issued MUSC bids or state term contracts. All purchases made in support of storeroom program(s) shall be purchased in accordance with MUSC university procurement rules. All materials are to be periodically evaluated for opportunities to standardize, be of sufficient quality to meet job needs and cost appropriate. Closely align with university procurement department to ensure purchasing methods, suppliers, pricing, lead times and quality are appropriate.

10% (Software/Automation): Serve as a subject matter expert on inventory software’s used to perform inventory and storeroom related functions. Coordinate with Facilities and MUSC technology personnel to ensure appropriate performance and maintenance of storeroom software(s). Ensure data accuracy is maintained in the software (cost, quantity, descriptions, vendor data, make, model, etc.) and software functionality is fully utilized by department staff. As needed, work with staff, vendors, Facilities and MUSC technology personnel to modify software configurations, perform upgrades and champion for the inclusion of inventory / materials management needs being integrated with MUSC’s ERP infrastructure and any other appropriate software’s.

5% (Communication): Collaborate with supervisor, shop/zone supervisors and other members of department leadership to determine reoccurring supply needs. Stay in close contact with Facilities departments to ensure that inventory needs are being met effectively.
