Job Description Summary

The Business Manager for the Medical University of South Carolina’s (MUSC)Institutional Advancement Alumni and Events LLC will work under the general supervision of the Director of Finance & Operation (DFO)s. This key role will be responsible for overseeing the day-to-day business and financial operations of MUSC Alumni and Events LLCs. With a strong emphasis on financial stewardship, budget execution, policy and procedure interpretation, guidance, and compliance, the incumbent will ensure the establishment and maintenance of financial compliance and efficient processes. The primary areas of responsibility include financial management, general accounting, accounts payable, accounts receivables, procurement, contract management, internal controls, and potential supervision of future employees.
The Business Manager will play a vital role in fostering effective collaboration with the Senior Director of Constituent Engagement and his/her designee, as well as the Business Manager of Institutional Advancement, to align business and financial operations to achieve strategic goals. The Business Manager will be instrumental in creating financial processes that will drive business and operational success for MUSC Alumni and Events LLC. This position may offer a hybrid work schedule.

Job Description

The Business Manager for the Medical University of South Carolina’s (MUSC)Institutional Advancement Alumni and Events LLC will work under the general supervision of the Director of Finance & Operation (DFO)s. This key role will be responsible for overseeing the day-to-day business and financial operations of MUSC Alumni and Events LLCs. With a strong emphasis on financial stewardship, budget execution, policy and procedure interpretation, guidance, and compliance, the incumbent will ensure the establishment and maintenance of financial compliance and efficient processes. The primary areas of responsibility include financial management, general accounting, accounts payable, accounts receivables, procurement, contract management, internal controls, and potential supervision of future employees.

The Business Manager will play a vital role in fostering effective collaboration with the Senior Director of Constituent Engagement and his/her designee, as well as the Business Manager of Institutional Advancement, to align business and financial operations to achieve strategic goals. The Business Manager will be instrumental in creating financial processes that will drive business and operational success for MUSC Alumni and Events LLC. This position may offer a hybrid work schedule.

Job Responsibilities:

Financial Management & General Accounting 35%:

  • Manage day-to-day financial operations, including recording transactions, maintaining financial records, and ensuring accuracy and completeness.
  • Conduct month-end financial close activities, such as reconciliations, accruals, and adjustments that are accurate, complete, and compliant with LLC best practices.
  • Prepare and analyze monthly, quarterly, and annual financial statements and distribute to appropriate personnel including external auditors to provide financial insights, guidance for and compliance.
  • Complete the fiscal year closeout process, collaborating with the DFO, Tax Preparer, and other stakeholders to ensure timely and accurate completion of business reporting needs.
  • Develop the annual LLC budget in collaboration with the Senior Director of Constituent Engagement, IA Business Manager, and DFO.
  • Responsible for ensuring the appropriate use of funds that are in alignment with MUSC, MUSC Foundation policies, regulations, etc.

Accounts Payable & Accounts Receivable 25%:

  • Manages LLC accounts payable and receivable functions, ensuring accurate and timely processing and tracking of invoices and payments with software tool such as Quick Books.
  • Monitor outstanding balances and collections, resolving any issues or discrepancies.
  • Maintain positive relationships with cross functioning teams, stakeholders, including vendors and clients/customers.
  • Responsible for administering accounts payable and LLC accounts receivable policies and procedures to ensure compliance and enhance efficiency.
  • Creating documentation of LLC functions.

Procurement and Contract Management 20%:

  • Coordinate LLC procurement activities, including vendor selection, negotiation, and contract administration.
  • Oversee the management of LLC contracts and agreements, ensuring compliance with legal and organizational requirements.
  • Collaborates with the Office of General Counsel, University Risk Management, and other stakeholders to review, negotiate, and finalize contract terms and conditions.
  • May supervise, train, coach, and review the work of other staff, as needed.

Internal Controls and Safeguards 10%:

  • Analyze, Implement, and maintain adequate internal control and risk management strategies for all areas of responsibility to mitigate risks and ensure operational continuity.
  • Regularly review and enhance existing processes to ensure adherence of federal and state laws, policies, procedures, rules, regulations, and best practices.
  • Work with DFO, university officials, and external stakeholders to conduct periodic audits.
  • Manages retention policy of relative business operations documents in compliance with legal and regulatory requirements.

Coordination 10%:

  • Collaborate with the Senior Director of Constituent Engagement or others to align financial operations with the goals and strategies of the both the Alumni and Events LLC.
  • Work closely with the Business Manager of Institutional Advancement to ensure seamless coordination of financial activities and information sharing as it relates to both the Alumni and Events LLC.
  • Serves as the back up to the Business Manager of Institutional Advancement performing central IA functions relating to finance and operations.

KNOWLEDGE, SKILLS, AND ABILITIES :

  • Knowledge of all applicable state and federal laws, rules, and regulations related to LLC.
  • Knowledge of and the ability to formulate/implement administrative and business management principles, practices, procedures, and policies.
  • Detailed oriented with the ability to communicate effectively (both verbal and written) and thrive in an environment that supports collaboration, self-direction, innovation, and learning.
  • General knowledge of working within an LLC, reporting requirements, and legal obligations.
  • Proficiency in Microsoft Excel, QuickBooks, and other accounting software.
  • Excellent analytical, problem-solving, and organizational skills.

MUSC Minimum Training and Experience Requirements:

A high school diploma and five years relevant experience in business management, public administration, or administrative services; or a bachelor's degree and three years’ experience in business management, public administration, or administrative services.
