Job Description Summary

Performs a variety of administrative support functions for the Autopsy Division in the Department of Pathology and Laboratory Medicine. Reporting to the Program Manager, the Administrative Assistant is responsible for autopsy report preparation, administrative medicolegal coverage, billing, and general office management including purchasing and office communication. Job Description

Job Duties: Performs a variety of administrative support functions for the Autopsy Division in the Department of Pathology and Laboratory Medicine. Reporting to the Program Manager, the Administrative Assistant is responsible for autopsy report preparation, administrative medicolegal coverage, billing, and general office management including purchasing and office communication. Works in conjunction with the Autopsy Division Director and Program Manager to ensure adherence to quality, safety, regulatory, certification and accreditation standards in compliance with the policies mandated by the Medical Center, University, JCAHO, CAP, OSHA and other accrediting agencies.

Job Description:

Autopsy report preparation, compilation and distribution 25%

Preliminary report preparation and delivery

Case file preparation and completion

Toxicology, histology, and other ancillary autopsy studies receipt and distribution

Final autopsy report standardization and distribution

Pre- and post-verification autopsy case information or report corrections

Provides Pathology Assistant Administrative coverage 20%

Prepares autopsy stations

Assists with decedent handling before, during and after autopsy

Processes evidence, personal effects, blood, tissue, and body fluids

Facilitates ancillary autopsy procedures to include toxicology, photography, x-rays, microbiological samples, etc

Disposes of autopsy biological and chemicals waste

Receives and documents incoming coroner and hospital autopsy case information, with follow-up as needed.

Schedules and registers autopsy cases

Provides autopsy technical support as needed

Supports of autopsy office communication and supply acquisition 15%

Distributes of mail, faxes and phone messages

Assists with coroner, family and healthcare autopsy inquiries

Schedules autopsy conference room

Documents of autopsy case communications and events (court, child death reviews, information requests, material distribution)

Orders necessary supplies

Assists with autopsy materials archives 10%

Maintenance of autopsy Excel statistical database

Archiving of autopsy files

Tracks file removal and distribution, subpoenas and faculty/staff court appearance/depositions electronically.

Coordinates handling retained evidence and biological specimens

Provides administrative medicolegal coverage 10%

Prepares and distributes authorized subpoena requests for autopsy materials – civil and criminal (working with legal for HIPPA and hybrid (non-HIPPA) entities)

Coordinates with University Press/County Coroners requesting production of old (microfilmed) forensic pathology reports

Processes autopsy billing (Forensic, MUSC medical, Outside hospital, Private cases) 10%

Submits autopsy case billing at time of final report verifications with appropriate ancillary charges included.

Prepares pending fiscal year end billing as requested by coroners

Facilitates the MUSC Autopsy Quality Assurance (QA) Programs 5%

Prepares approximately 15% of completed MUSC autopsy reports for review by staff pathologist to adhere to the College of American Pathologists (CAP) Accreditation Program. Distributes all QA materials for review and documents outcomes with healthcare provider linkage in a data spreadsheet. Refers cases with significant discrepancies to the Director of the Autopsy Division for resolution.

Administers the MUSC Autopsy Clinicopathologic Correlation data management system: Receives and archives the data on all pathologist completed clinicopathologic correlation forms on MUSC Medical Autopsies comparing clinical vs. postmortem diagnoses.

Prepares appropriate forensic autopsy reports for MUSC Emergency Dept. Quality Assurance Coordinator.

Perform other duties as requested by the Medical Director of Autopsy, other pathology faculty, and Autopsy Operations manager 5 %

Works in conjunction with the Autopsy Division Director and Manager to ensure adherence to quality, safety and regulatory, certification and accreditation standards

Complies with policies mandated by the Medical Center, University, JCAHO, CAP, OSHA and other appropriate accrediting agencies

Problem solves and performs work related tasks in a responsible and efficient manner

Minimum Experience and Training Requirements: A high school diploma and two years' work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.
