Job Description Summary

Serves as the Department of Ophthalmology Residency and Medical Student
Coordinator and Office Manager under limited supervision of the Ophthalmology Residency
Program Director, Medical Student Rotation Director and reporting to the Ophthalmology
Administrator. The position will primarily be responsible for the administration, coordination,
and supervision of the department's overall Residency and Medical Student Programs and assist
with general business operations.

Job Description

Job Duties:

1. Coordinate business and support activities for Ophthalmology residency program, including: development, maintenance & monitoring of annual budgets, preparation of monthly resident call schedules, meal allowances, duty hour logging (at MUSC & VA sites), preparation of complex and sophisticated reports and spreadsheets, composition of correspondence & narrative sections of reports and documents. 20%

2. Administration, coordination and supervision of daily operation of the Residency Program, including recruitment, interviews, orientations (departmental, VA, GME, paging, EPIC, etc.), meetings, evaluations, travel, schedules (call, clinic, lecture), special events (monthly Resident Educational Symposium evenings), Graduation Dinner, Welcome Reception, leave requests, license renewal, DHEC renewal, DEA renewal & reporting. Requires knowledge of accreditation requirements & maintenance of hard and e-files. Responsible for the resident didactic lecture schedule. Manages the tracking methodology to assess complication rates I resident performed cataract surgeries. 20%

3. Coordination of all activities relating to the Glaucoma Fellowship program including clinical schedule creation and management, affiliation agreements, program handbook development, recruitment activities, and accreditation application preparation. 15%

4. Coordination of all activities relating to the development and management of the Cornea Fellowship program. Responsible for executing affiliation agreements, coordinating recruitment through SF match, developing program handbook, and preparing AUPO application for accreditation. 15%

5. Coordinate medical student schedules with Medical Student Director, review visiting student applications and input student grades after each block. Administration and supervision of daily operations of the medical school program including clinics, ORs, lectures, didactic events, visiting student applications, meetings, database utilization (WebAdvisor, E'*Value, VSAS and Box for medical students) also handle all evaluations and test scores. Responsible for creating, coordinating & overseeing the medical student/mentor program. 10%

6. Coordination of onboarding, credentialing, and training for the Pediatric Fellowship program. 5%

7. Development & management of departmental website and intranet site. Knowledge & maintenance of written policies, protocols and procedures and deployment of these through the new departmental intranet and e-manual on the secure box. 5%

8. Serve as GME office liaison for the Department of Ophthalmology, working closely with the GME office on the following: data input for E'*GME reimbursement purposes, tracking duty hours for on & off campus sites (including the VA). Generate reports of resident biographical data, GME Affiliation Agreements, (work closely with HR & GME to draft documents, obtain signatures& upload into E'*Value), appointment/reappointment letters, clearance sheets, completion certificates, fellowship recommendations, residency verifications, loan forbearances, meal card allotment and vouchers. 5%

9. Responsible for all reporting requirements relevant to the residency program including Program Evaluation Committee, Annual Program Evaluation reporting to GMEC, and Core Curriculum Committee (all ACGME mandated), reporting of duty hours, procedure case logs, diversity, annual program review, scholarly activities and match results. Utilization of the following databases: E*Value, ACGME, SF Match, E*GME, GME Track, WebAds, ABO, The maintenance of the referenced databases enable the residency coordinator to maintain applicable information used in the residency program such as: rotation assignments, procedure case logs, match results, biographical data, duty hours, affiliation agreements, didactic and conference schedules and other pertinent information related to the Ophthalmology Residency Program. 5%

A bachelor's degree and one year relevant program experience.
