Job Description Summary

Job Description

As part of the Medical University of South Carolina’s Institutional Advancement Services team, the Advancement Database Specialist will create, enter, maintain, and ensure the accuracy and integrity of biographic, demographic, and contact information data for the 300,000+ constituent records in the department’s CRM system. This position involves drafting process and procedure materials, providing basic database support, and training, and assisting with departmental projects. S/He reports to the Senior Director Advancement Services. This position is based in Charleston, SC a remote work schedule may be available.

Responsibilities:

35% Data Creation and Updates

Process all incoming data requests including creating new constituent records and updating biographic and demographic data upon constituent or colleague request. Assists in designing and developing solutions to streamline data entry processes while maintaining efficiency and accuracy. Ensure all constituent communication preferences are coded accurately and updated quickly. Cross-reference various vendor platforms such as obituary services, phone lookup services, and AlumniFinder/LexisNexis to verify information and ensure that all constituent data is accurate. Investigate data-related issues faced by Advancement staff and take corrective action when possible or escalate issues when needed. Identify potential efficiencies in data processing procedures and provide insights to the database administrator and Senior Director of Advancement Services if structural data issues are found or if recommendations for improvements are determined.

30% Data Integrity and Validation

Conduct regular and ongoing data integrity checks under set deadlines. Run queries, identify potential problems, and update or escalate issues as they arise. Assist the database administrator in designing and developing database schema to meet system and user requirements and provide suggestions for additions to data dictionaries, code tables, or database schemas as user needs change or data becomes outdated. Runs statistical reports to ensure data validation processes are successful.

25% Training and Customer Service

Troubleshoot issues and provide clear and concise customer service support to Advancement staff for data, database access, or reporting issues. Triage incoming support requests via email, phone and our internal request tracking system. Resolve simple to moderate issues and escalate moderate or complex issues to the relevant colleague. Draft how-to documentation and procedural guides about database entry and data support for the Advancement Services team and the broader Institutional Advancement department. Identify gaps in existing data training and assist Advancement Services staff in ensuring the database is user-friendly.

10% Administrative and Project Support

Provide scheduling and administrative support to the Senior Director for data-related projects and team-wide meetings. Ensure Advancement Services staff and partner departments have the data and project details necessary to meet departmental deadlines. Send departmental communications on behalf of the team and the Senior Director as needed. Assist in providing back-up support and project coverage when database, IT, or research colleagues are unavailable.

Preferred Training and Education: Bachelor’s degree, or high school diploma with 3-4 years of work experience in database entry, data maintenance or data integrity, or supporting a technical or data-focused team.

Additional Knowledge and Skills: The ideal candidate will have experience performing fast and accurate data entry and data integrity checks in a complex and sizable database system. Experience with an Advancement database such as Blackbaud’s Raiser’s Edge is preferred. They must be detail-oriented, able to work under tight deadlines, and prioritize reactive work with little supervision. The candidate should have excellent written and verbal communication skills and be able to interact with a diverse group of fundraisers, advancement staff and other constituencies. They must be able to describe technical and data issues to a non-technical audience, handle sensitive personal and financial information with confidentiality and tact, and ensure data is compliant with FERPA, HIPAA, and other data privacy guidelines, and the Code of Ethics outlined by the Association of Fundraising Professionals.

MUSC Minimum Requirements

A high school diploma and one year work experience in systems development and maintenance, technical support, or the support of database management systems. A bachelor's degree in a related field may be substituted for the required experience.
