Position Summary: The Production Coordinator assists with job coordination & scheduling, working diligently to keep all functions of the team and clients informed. The Production Coordinator maintains positive internal and external relations, performing a variety of administrative tasks needed to implement and follow consistent best practices for pre, post and on-site production (work orders, scheduling, etc.) Production Coordinators ensure timeliness of all aspects of production and collaboration throughout interdepartmental teams, helping to maximize the overall experience before, during and after the productions are completed. The Production Coordinator is responsible for ensuring that communication is open and smooth between all stakeholders involved in production, to facilitate and maximize every part of the production process.

Minimum Skills & Requirements:

  • What You Bring:
    • Two to three (2-3) years of experience in a production environment, preferably in a production assistant capacity.
      • Prior experience in the entertainment, creative services, or production environments preferred.
      • Project management experience the entertainment, creative services, or production environments preferred.
    • A strong working knowledge of Microsoft Excel, Google Slides, and Google Share Docs.
    • Must be an effective communicator with the ability to effectively communicate changing needs, prioritizations, projects and deadlines.
  • Who You Are:
    • You have strong organization and communication skills, with a proactive mindset.
    • You are proactive and possess the ability to pivot with changing project scope(s) and moving deadlines.
    • You understand different formats of communication and are able to articulate ideas across video, phone and face-to-face interactions.
    • You are capable of managing heavy workloads with changing needs and priorities.

Primary Duties & Responsibilities:

  • Coordinating and producing in-house and external stills and video shoots from conception to production through editorial (if needed) for socials, print and/or broadcast.
  • Assisting in all pre-production tasks including, but not limited to: checking crew/talent availability; administering paperwork such as deal memos, insurance certificates, call sheets, etc.
  • Coordinating all internal production (shoot) and post-production workflow between Creative and Production teams.
  • Maintaining project assignments; ownership of who is assigned to what project, due dates, etc.
  • Inputting and tracking deliverables, ensuring deadlines are met.
  • Participating in all creative and production meetings.
  • Tracking project expenses across the lifetime of projects.
  • Checking invoices for accuracy of production charges and credits.
  • Overseeing Production WIP reports from each vendor, communicating effectively with team regarding project status.
  • Ensuring contracts, permits and agreements are in place pre-production, and filed on completion of projects.
  • Performing other related duties as assigned.
