  • Monday – Thursday: 7:30 AM – S:30 PM (1-hour lunch)
  • Friday: 7:30 AM – 11:30 AM

Status: Full-Time

Position Summary

We are seeking a dependable and detail-oriented Office Administrator to serve as the front-office gatekeeper for our commercial HVAC and plumbing operations. This role is critical to ensuring smooth daily administrative, fleet, and office functions. The ideal candidate is organized, professional, proactive, and comfortable managing multiple responsibilities in a fast-paced environment.

Key Responsibilities

Front Office & Administrative Support
  • Answer and route incoming phone calls professionally
  • Greet and assist visitors and vendors
  • Open, sort, distribute, and post all incoming and outgoing mail daily
  • Maintain accurate records and filing systems (physical and digital)
  • Enter customer check deposits into Vista by Viewpoint

Fleet & Fuel Management

  • Enter fuel tickets and vehicle mileage for reporting purposes
  • Process vehicle reports for scheduled maintenance
  • Update Viewpoint upon completion of vehicle maintenance
  • Issue vehicle numbers
  • Maintain documentation related to vehicle purchases, sales, tags, titles, and registrations

Office & Employee Support

  • Order anniversary apparel and distribute milestone anniversary gifts
  • Place and manage weekly office supply orders
  • Send employee birthday cards monthly

Required Skills & Qualifications

  • Basic computer proficiency, including working within a shared network drive
  • Strong organizational skills and attention to detail
  • Ability to manage routine tasks consistently and accurately
  • Professional communication skills and discretion
  • Prior administrative or office support experience preferred
  • Familiarity with Vista by Viewpoint is a plus, but not required
