The Preventive Maintenance (PM) Administrative Assistant will maintain HVAC PM Technicians daily schedules and dispatch the technicians for PM calls as needed. Follow-up with HVAC technicians and customers to ensure completion and/or schedule follow-up visit. Maintain customer database with current information. Provide clear and concise communication with department managers, employees, and customers, including keeping customers appraised as to company schedule and requested lead-times.

Duties and responsibilities:

  • Assist PM Manager on all office functions.
  • Answering incoming calls as needed
  • Schedule & create work orders for preventative maintenance.
  • Ensure completeness of inspection checklists.
  • Schedule & create work orders for service repairs & projects in primary dispatches absence.
  • Drive PM completions to improve compliance
  • Utilize and maximize Service Software (Viewpoint and MSI)
  • Receive and respond to all client inquiries.
  • Monitor customer issues to ensure problems are resolved in a timely manner with best solution possible.
  • Follow-up on parts and scheduling
  • Perform / Back-up preparation of Service quotes as necessary
  • Complete daily time reports for PM technicians, verifying hours and expenses.
  • Provide support to other Service Team members to ensure optimum customer support / service.

Requirements:

  • High school diploma or GED
  • 2+ years of related experience preferred
  • Excellent written and communications skills with the ability to be concise, clear, and consistent
  • Strong Microsoft Word, Excel, Outlook and Adobe PDF experience
  • Detail orientated and able to function in a fast-paced and changing environment
  • Willingness to perform job duties well and with pride
  • Fast learner and works well with little supervision
  • Great multitasking skills
  • Must be able to pass a drug test
