Minimum Requirements
  • Bachelor’s degree required.
  • Experience in higher education administration, event coordination, or public relations is highly preferred.
  • Familiarity with grant administration, fellowship management, or digital media/audio production is a strong plus.
  • Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
  • Program & Fellowship Management: Proven experience coordinating, planning, and executing not just single events, but long-term, multi-tiered training schedules and fellowship cohorts about healthy conflict, dialogue across difference, and free expression.
  • Multichannel Communication & Media Literacy: Exceptional oral and written communication skills. Proficiency in developing communication strategies across social media platforms, managing websites, and overseeing digital audio assets, including podcast distribution.
  • VIP Logistics & Diplomacy: Ability to serve as an authentic, diplomatic liaison to a diverse group of stakeholders, including students, campus leadership, national media, high-level donors, and visiting institutional executives or national thought leaders.
  • Financial Stewardship & Grant Compliance: Ability to manage multiple fund types (state, foundation, and external capacity-building grants), track specific deliverables, maintain exact record-keeping systems, and process institutional purchasing requests safely within an allocated budget.
  • Independence & Judgment: Ability to exercise excellent judgment, maintain strict confidentiality, multi-task in a fluid environment, and display deep tact and diplomacy during sensitive civic programming.
  • Technical Proficiency: Facility with Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with campus database systems.

The Civility Initiative promotes healthy conflict and dialogue across difference on campus and in the wider community through events, trainings, workshops, and more. This position is the point person for those efforts.

This position will be renewable up to three years and potentially beyond.

Fellowship & Pluralism Training Program Operations | 30% (Essential)
  • Manages the back-of-house logistics, cohort scheduling, and tracking for the Initiative’s three interlocking pluralism training programs (faculty, staff, and student tracks), each of which includes 10+ people.
  • Coordinates the application, selection, and sustained communication processes for these fellowships
  • Arranges training spaces, prepares digital and physical program materials, and serves as the immediate point of contact for campus event participants.
  • Collects, organizes, and maintains data for continuous program assessment.

Public Event Programming, Logistics, & Internal/External Partnerships | 25% (Essential)
  • Acts as the primary operational coordinator for all public-facing events, guest lectures, forums, and summits hosted by the Civility Initiative.
  • Handles comprehensive speaker logistics, including contract preparation, travel arrangements, honoraria processing, executive-level hospitality, and itinerary development.
  • Manages cross-institutional coordination when partnering with national academic or civic institutes.
  • Oversees on-site event execution, coordinating space setups, catering, technical support, and front-of-house audience relations.

  • Elevates the national and campus profile of the Initiative by executing a comprehensive communication strategy.
  • Directly supports media production workflows, specifically managing digital audio assets, podcast distribution, archiving, and repurposing historical audio content for training modules.
  • Authors and designs community newsletters, generates content for multi-platform social media distribution, and keeps the official program website current.

  • Tracks specific deliverables and manages budgets tied strictly to external funding guidelines, assisting in compiling data for comprehensive grant reports.
  • Serves as the front-of-house liaison for the Initiative’s audience, community friends, and financial supporters.
  • Drafts high-level promotional updates, donor thank-you correspondence, and targeted impact reports.
  • Organizes and updates the donor database to ensure systematic stewardship and tracking of philanthropic gifts.
