Job Description
We are seeking a highly organized, proactive, and technically proficient Senior Management Assistant to provide critical administrative, technical, and project support to our Power Solutions Value Stream Leaders and their respective organizations. This role is central to ensuring the smooth operation and efficiency of our leadership team, allowing them to focus on strategic initiatives.
Key Responsibilities:
- Executive Support & Coordination: Provide comprehensive administrative and technical support to PS-ChP/MSE3, -/MOE3, -/MOE4, and MOE6 organizations and their leadership.
- Calendar & Travel Management: Expertly manage leadership correspondence, complex calendars, and meeting schedules. Proactively plan and coordinate detailed domestic and international travel arrangements, including necessary documentation and expense reconciliation.
- Meeting & Event Planning: Plan, coordinate, and execute on-site and off-site workshops, meetings, and company events, preparing all corresponding documentation for internal, corporate, and external attendees.
- Financial & Procurement Support: i-Buy Specialist. Systematically follow up on invoice resolutions, maintain the Purchasing credit card and corporate travel card with meticulous controls, and ensure accurate invoicing and expense reporting for each organization.
- Data Management & Reporting: Maintain departmental data, prepare charts and graphs for visual presentations, and generate/modify reports for internal and external stakeholders. This includes leveraging tools like Tableau, Power BI, and MES for department heads.
- Document Control & Security: Maintain various confidential filing systems, ensuring security and adherence to policies and procedures (e.g., Data Security, Document Retention, and Record Archiving). Prepare and maintain data security partner lists for Non-Standard Hardware.
- Emergency Preparedness: Serve as an Evacuation Monitor for Emergencies, ensuring data is current and new associates, interns, and co-ops are aware of their evacuation procedures.
- Project & Process Support: Provide systematic follow-up on weekly, bi-weekly, and monthly reporting. Assist with and, at times, lead projects as assigned by directors and managers, contributing to the team's strategic objectives.

Qualifications
- Experience: Minimum of 5+ years of progressive administrative support experience, ideally supporting multiple managers or executives in a fast-paced environment.
- Education: Bachelor's degree preferred.
- Technical Proficiency: Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other office productivity tools. SAP Systems P81 and PM7 a plus.
- Organizational Prowess: Exceptional organizational, time management, and multitasking skills with a strong ability to prioritize effectively under pressure and manage multiple projects concurrently.
- Communication: Excellent written and verbal communication skills with a professional demeanor and the ability to interact effectively with all levels of the organization and external contacts.
- Proactivity & Problem-Solving: A proactive approach, ability to anticipate needs, identify potential issues, and implement solutions independently.
- Discretion & Confidentiality: Demonstrated ability to handle sensitive and confidential information with the utmost discretion and integrity.
- Attention to Detail: Meticulous attention to detail in all tasks, from data entry to document preparation.
