Job Summary and Essential Functions

This position typically provides assists with implementation of services, policies and programs; assists employees regarding Human Resources, Safety and Risk Management issues; and deals courteously and professionally with coworkers and the public.
ESSENTIAL JOB FUNCTIONS:- Performs administrative duties and assists staff with various research, payroll, recruitment, training, employment relations, compensation and benefit projects when required, including copying and scanning duties.
- Assist callers and visitors, and ensures the front desk is covered at all times and coordinate lunch coverage for the front desk.
- Perform timekeeping and p-card processes.
- Assist employees and applicants with online issues.
- May assist Safety and Risk Management with handling of workers comp claims, record keeping and reports.
- Assist with coordinating mandatory OSHA training and other safety training for County departments.
- Maintain DOT and driving records.
- Assist with copies of identification(s) and County ID badges.
- Complete employment verifications.
- Creates miscellaneous documents, letters, spreadsheets and reports as required and requested.
- Handles and files confidential HR documents.
- Order office supplies and ensure forms, supplies and equipment are maintained at an acceptable level.
- Assist with all events handled through HR and/or Safety & Risk Management.
- Picks up and delivers mail to mailroom.
- Orders and maintains service awards and certificates for employees.
- Updates job postings book, labor law posters and related communications.
- Performs other duties as assigned.
Minimum Requirements to Perform Work
-
- High School diploma or equivalent;
- Three (3) years of related administrative experience;
- Data Entry/Basic Skills score of 77, Word score of 55 and an Excel score of 50 required for this position;
- Maintains strict confidentiality in performing the duties and protects operations by keeping information confidential;
- Departmental testing may be administered during interview;
- A criminal background check will be completed on selected applicant if a current one (less than 3 years old) is not on file.
- Ability to maintain a high level of confidentiality and to work in a fast-paced stressful environment.
- Ability to work independently and exhibit strong attention to detail with a high level of accuracy.
- Ability to exercise discretion and judgment in interpreting and adapting guidelines to specific cases or problems.
- Ability to multi-task, have good interpersonal skills, decision making and accountability; commitment to continuous improvement; personal and work ethics.
- Skill in using personal computers including Microsoft Word and Excel.
- Skill in the operation of all basic office equipment including scanner, copier, fax, etc.
Physical Demands

This position requires the employee to sit and use hands to handle and finger objects; reach with hands and arms; use repetitive motion; and walk, talk and hear. The employee must occasionally lift and/or move up to twenty-five (25) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
Work Conditions

The work is regularly performed in a safe and secure work environment that may periodically have unpredicted requirements or demands. Thirty-seven and one half (37.5) hours per week. Normal operating hours are between Monday through Friday 7:30am until 4:30pm with the ability to work flexible hours when necessary. Scheduled hours/days, job location, duties and any other information contained herein is subject to change. May be required to work extra hours and to perform extra or different duties during emergency situations.
