Job Summary and Essential Functions

This position typically performs basic administrative tasks; and deals courteously and effectively with fellow employees and citizens.

ESSENTIAL JOB FUNCTIONS:

  • Under the supervision of Sheriff's Office Command, perform a variety of administrative duties to ensure administrative consistency in daily operations of the Sheriff's Office.
  • Receive and process all expungement orders issued by all magistrate offices within Berkeley County as well as General Sessions Court.
  • Processing includes, researching court records, researching the AS400 database and deleting arrest information for charges that are expunged in the booking, warrants and ticket indexes, researching and deleting arrest data from the PD Manager RMS system, digitally transferring unredacted copies of case files from Application Extender into a SEALED file for a retention period of three years as required by State Law, pulling the original documents and redacting all arrest data for expunged charges and rescanning and re-indexing said reports into the Application Extender to the targeted folders, and re-filing the redacted reports.
  • Responsible for forwarding expungements to Forensics, and Division Administrative Assistants for appropriate action from those areas.
  • Data entry (incident report assignments, supplements, metal permits data, etc.) and intermediate to advanced use of word processing and spreadsheets.
  • Draft, edit and distribute correspondence for Command and others as needed.
  • Creating court files and disseminating case documents to the records office and Solicitor's Office.
  • Draft and maintain schedules as directed.
  • Answer telephone(s), take messages, sort/deliver mail and greeting citizens.
  • Deal courteously and effectively with the general public and fellow employees.
  • Must have the ability to manage difficult or emotional citizens who make demands.
  • Must deal with citizens who have legitimate problems and determine what office within the Sheriff's Office would be best handle their situation.
  • Must be able to multi-task work responsibilities.
  • Must complete administrative duties as requested by Command. Communicate all necessary information to the appropriate contacts.
  • Performs other duties as assigned.

Minimum Requirements to Perform Work

  • High School diploma or equivalent;
  • Two (2) year of related administrative experience;
Special Requirements:
  • Must achieve and maintain NCIC certification;
  • Data Entry/Basic Skills score of 71 is required for this position;
  • Departmental testing may be administered during interview;
  • A criminal background check will be completed on selected applicant if a current one (less than 3 years old) is not on file.
Knowledge, Skills and Abilities:
  • Ability to maintain a high level of confidentiality and multi-tasking ability is essential along with good interpersonal skills, decision making, and personal and work ethics.
  • Ability to work well with people, excellent communicative skills, and must be flexible in all areas of work when dealing with co-workers as well as the public.
  • Ability to follow oral and written instructions.
  • Knowledge of personal computers, including Word and Excel.
  • Skill in clerical tasks including filing, customer service, math, data entry and correct grammar usage.
  • Skill in the use of general office equipment.
  • Ability to accept payments.
  • Ability to manage inventory and property.

Physical Demands

This position requires the employee to sit and use hands to handle, feel, finger, grasp or operate objects, tools or controls; reach with hands and arms; use mental acuity and repetitive motion; and walk, talk and hear. The employee must occasionally lift and/or move up to twenty-five (25) pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

Work Conditions

The work is regularly performed in a relatively safe, secure and stable work environment. Thirty-seven and one half (37.5) hours per week. Normal operating hours are Monday through Friday 9:00am until 5:00pm with the ability to work flexible hours when necessary. Scheduled hours/days, job location, duties and any other information contained herein is subject to change. May be required to work extra hours and to perform extra or different duties during emergency situations.
